Overview

The team management module turns a VillaTax account from a single-user tool into a shared operating workspace. Villa businesses are rarely managed by one person. There is usually an owner, an accountant, an operations manager, and often an additional admin or support contact involved at different points. Team management makes the product usable by that wider group without creating separate accounts or losing coherence.

Why Shared Workspaces Matter

Without team structure, a VillaTax account becomes dependent on one user's login and memory. That creates real operational risk:

  • A compliance review might stall because only one person has access to the relevant modules
  • An accountant cannot independently review records without the owner sharing credentials
  • A new admin cannot be onboarded without the original user staying involved in every task
  • A document upload or declaration follow-up can fall through the gap because nobody knows who is responsible

Team management solves this by distributing access in a controlled way. Multiple people can work in the same account context without every action depending on a single user session.

Inviting Collaborators

The team workflow starts with an invitation. From Team management, account administrators can invite collaborators by email. Once invited, collaborators can participate in the shared workspace using their own login credentials.

That is an important design choice. Team members authenticate individually. Nobody needs to share a password or work from a single session, which creates both better security hygiene and clearer operational responsibility.

Who Benefits From Team Access

The feature is particularly useful for:

  • Accountants: who need periodic access to reports, compliance status, expenses, and tax data without having to request credentials each time
  • Operations managers: who handle bookings, documents, maintenance, and staff without necessarily touching the fiscal modules
  • Co-owners: who want visibility into performance and compliance without running daily operations themselves
  • Support staff: who handle data entry, guest records, or utility tracking on behalf of the primary owner

These roles do not all need the same level of access. VillaTax's current team management provides workspace participation; more granular permission controls by module or role are planned as part of a future authorization refonte.

Current Permission Model

Team management in its current state is primarily about participation: who can work inside the account. Full per-module permission granularity (for example, giving an accountant read-only access to fiscal records but blocking access to booking data) is a more complex feature that is planned but not yet fully implemented. The current version focuses on workspace access rather than fine-grained role separation.

This should be described accurately: the feature adds collaborators effectively, but does not yet offer enterprise-level role-based access control.

Relationship to Other Modules

Team access affects every part of the product because every module becomes more operationally sustainable when responsibility for it is distributed:

  • Documents require admin follow-up and upload, multiple people can share that work
  • Compliance follow-up is easier when an accountant can independently check status
  • Finance review and report generation can be delegated to the financial collaborator
  • Booking management can be assigned to the operations team

Team management is therefore not a self-contained feature. It is the organizational layer that makes sustained use of all the other modules realistic at scale.

Getting Started

Open Team management when the account needs to move beyond a single-user setup. Invite the people who actually need access to operate or review within VillaTax. Once collaborators are active, review whether the current access arrangement reflects the operating roles in the business. As team composition changes (new accountant, change in operations manager, new co-owner) update the team list to keep workspace access aligned with the people currently involved.
