Service Delivery Tracking

A planned workflow for following the status of advisory or support work once a service request has been accepted.

Overview

Service delivery tracking is planned to give VillaTax users and the team clear visibility into the status of advisory or support work after a service request has been accepted. Rather than leaving the user to follow up by email or wait for occasional updates, the feature would make service progress visible and structured within the product.

The Problem With Opaque Delivery

Once a service request has been placed through the services module (a compliance audit, a PT PMA setup, a tax structuring engagement) the user often loses direct visibility into what is happening. The request has been submitted. Acknowledgment has been received. But then: where is it? What stage is it at? What is the next step?

Without a structured tracking layer, the answer is email or phone. That works, but it creates unnecessary friction and makes the service experience feel less professional than the software itself. Service delivery tracking is intended to close that gap.

Intended Scope

When released, the service delivery tracking feature is expected to cover:

  • Status stages: a clear view of where a service engagement currently sits: received, in review, active, pending client input, complete
  • Next action visibility: what step is coming next and who is responsible for it (the user, the advisory team, or a third party)
  • Document and milestone linkage: connecting the relevant records (documents, fiscal records, organization data) to the active engagement so context is preserved throughout
  • Update notifications: alerts when the engagement moves to a new stage or requires client attention

The tracking view is visible to the requesting user, not just the internal team. That is what makes it a user-facing delivery feature rather than an internal project management tool.

Relationship to Other Service Features

Service delivery tracking is the status layer that connects the services module (request), the consultation scheduler (session time), and the service calendar (scheduling view) into a coherent delivery experience.

Current Status

This capability is not yet live. It should be treated as a planned roadmap feature until a real status workflow is available in the product dashboard.
