Property Management

Manage multiple villa properties with regency-specific tax rates, legal entity links, and publishing for direct bookings.

Overview

Every booking, tax calculation, and journal entry in VillaTax is anchored to a property record. The property management module at Properties module is where you configure each villa's profile, link it to the correct legal entity, set its regency-specific tax parameters, and optionally publish it for direct bookings.

Getting this foundation right means every downstream calculation (PBJT rate, PPh 4(2) basis, balance sheet entries, ROI) uses the correct source data for each property.

Property Profile

Each property record captures:

  • Name and address: displayed in reports and on the public booking page if published
  • Regency (kabupaten): determines the PBJT rate. All 9 Bali kabupatens are supported with their respective accommodation tax rates. Properties outside Bali can be configured with the correct local rate manually.
  • Property type: villa, apartment, guesthouse, or other rental type
  • Capacity: number of bedrooms, bathrooms, and guest capacity (used on the direct booking page)
  • Hero image and photo gallery: uploaded photos appear on the public booking page if direct booking is enabled
  • SEO fields: meta title and meta description for search engine visibility of your public page

Every property belongs to one organization. The organization is the legal entity that owns or manages the property, a Perorangan individual, a CV, a PT local, or a PT PMA.

This link determines:

  • Which tax obligations apply (Perorangan vs. PT/CV have different regimes)
  • Which NPWP and KBLI codes govern the property's operations
  • How journal entries and compliance reports are grouped

A property cannot be linked to more than one organization at a time. If your ownership structure changes, you update the organization link in the property profile.

Tax Configuration Per Regency

PBJT (Pajak Barang dan Jasa Tertentu, the accommodation tax) is set at the regency level. Rates differ across Bali's kabupatens (for example, Badung and Denpasar use one rate while Gianyar may differ) and change when local government regulations are updated.

VillaTax stores primary-source PBJT rates for all 9 Bali kabupatens. When a booking arrives for a property in a given regency, the correct rate is applied automatically. If your property is outside the supported regency list, you can configure a custom rate in the property's tax settings.

This regency-rate link is the single point of configuration. You do not need to enter PBJT rates per booking.

Multi-Property Management

You can add unlimited properties under each organization. The properties list at Properties module shows all your villas with:

  • Total bookings per property
  • Compliance status per property
  • Quick links to the property's booking list, calendar, and detail page

The dashboard home and analytics module both support per-property and consolidated views. KPIs, P&L, and compliance scores can be filtered by property using the scope filter.

Property Detail Page

Each property has a detail page at the property detail page showing:

  • Full property profile and configuration
  • Linked organization and KBLI context
  • Recent bookings for this property
  • PBJT configuration and current rate
  • Link to edit the profile

From here you can also update the property's direct booking settings.

Publishing for Direct Bookings

If you have the direct booking feature enabled, you can publish a property as a public-facing page. The public property page uses your property's photos, description, capacity, and configured CTA (external link, WhatsApp button, or booking request form).

Publishing is controlled per-property with a toggle in the property settings. Unpublished properties are not visible publicly regardless of whether they have a slug configured.

Archiving Properties

Properties cannot be permanently deleted if they have linked bookings, journal entries, or fixed assets, doing so would destroy historical fiscal data. Instead, properties with linked records are archived. Archived properties remain in the database for reporting purposes but are hidden from active views.

Properties with no linked data can be permanently deleted.

What Is Not Covered Here

  • Property valuation (NJOP for PBB and PPh cession) is managed separately under Property Dispositions and property valuation records
  • Fixed assets for each property (furniture, appliances, the building itself) are managed under Fixed Assets
  • Property sales and capital gains tax calculation are handled in the property dispositions module

Getting Started

Navigate to Properties module and click "Add a property." You will need an organization created first, create one at create a new organization before adding properties. Once a property is configured with regency and legal entity, you can connect OTA integrations and start importing bookings.
