Data Import

Bring historical bookings and operating records into VillaTax through structured import workflows instead of rebuilding everything manually.

Overview

The import module exists for one practical reason: most operators do not start from a clean slate. They already have historical bookings, spreadsheets, statements, or partial operational records from other systems. Re-entering all of that manually is slow, error-prone, and often the reason a migration stalls. The import flow gives VillaTax a controlled way to accept source data and normalize it into the dashboard.

That is why Import module matters. It reduces migration friction and helps teams establish a usable baseline faster.

What Import Is For

Import is not just a technical convenience. It is an operational onboarding layer. A team may need to bring in:

  • historical booking records
  • exported reservation files
  • structured operational data prepared outside the platform
  • initial baseline datasets for a property or organization

The value is not merely “upload a file.” The value is turning external records into data the rest of VillaTax can actually use.

Structured Migration Instead of Manual Rebuild

Without import tooling, teams face a bad tradeoff:

  • either they rebuild records manually and waste time
  • or they start with incomplete history and lose context

The import module offers a middle path. It is designed to take structured source files and reduce the amount of manual recreation required. That is particularly important when the operator wants analytics, booking history, or tax context to make sense soon after onboarding.

Relationship to Other Modules

Imported data only matters if it feeds the rest of the system. In VillaTax, import is valuable because it is downstream-aware:

  • bookings can support calendar and guest history
  • revenue data can support analytics and tax context
  • migrated operational records reduce the “empty dashboard” problem

This is why import is more than a one-time migration button. It is part of the path that turns outside data into something reusable across the product.

When to Use It

The feature is especially useful in a few common situations:

  • the operator has months of historical OTA exports
  • a property was previously managed in spreadsheets
  • multiple villas are being onboarded together
  • the team wants continuity instead of starting from zero

In those cases, import becomes a speed layer. It helps the product become useful sooner and reduces resistance from teams that already have established admin habits.

Data Quality and Review

An import workflow should always be handled with review in mind. Imported records are only as good as the source material, and external files often contain inconsistencies. The right way to frame the feature is that it accelerates structured ingestion, but it does not make bad source data trustworthy by itself.

That means operators should still expect to:

  • confirm field mapping
  • review outliers
  • verify totals after import
  • check whether the imported record matches reality

This is a strength, not a weakness. Honest import tooling should help teams migrate faster without pretending every file arrives perfectly normalized.

Limits

The import module should not be described as a universal “import anything” engine unless the product explicitly supports that. Its role is more grounded: accept supported source formats, move structured records into the dashboard, and save the team from manual recreation where possible.

Getting Started

Use Import module when onboarding a property or organization that already has structured historical data. Start with the most valuable operational records first, validate the result, and then expand the imported scope once the first dataset looks clean inside VillaTax.
